14. Managing Your Shopify Web Store
14.1 Signing up for a Shopify Web Store
When you select the Manager, and then select Web Store, you'll be able to link Checkout to your Web Store. If you haven't signed up for a Shopify Web Store, click on Learn More to find out how easy it is to sign up for the connector and setup your Web Store. After your Web Store is setup, select the Set up Shopify button to enter your Shop Address. After selecting the next button, a page will appear for you to enter your Email and Password used with Shopify. Clicking the Log in button will then take you to a page where Install App needs to be selected to allow syncing between Checkout and Shopify.
14.2 Setting up Shopify Settings
After you have linked to your Web Store, the settings page will appear showing the different options to manage how the sync works. The first option is allocate stock for new incoming web orders. When this option is selected, any available stock in inventory will automatically be allocated against new web orders that are downloaded from Shopify.
The next option is invoice newly archived Shopify orders. When this option is selected it will automatically invoice web orders downloaded from Shopify that are fully paid and allocated. If orders are canceled on Shopify and fully refunded, the downloaded order will automatically be canceled within Checkout by deleting the web order. This allows for a seamless integration when working through Shopify's order workflow.
Next is the option to publish new products immediately on your Web Store. When unchecked the products will be uploaded to Shopify, but will be hidden, which allows you to validate and modify product information prior to selling the item online. When all modifications are done, the product visibility flag can be adjusted on the product within the Shopify Online Settings.
Next is manage stock inventory. When this option is selected, Checkout will upload the Web Store Qty number found on the products to the Web Store. If this option is unchecked, stock quantities will be manually managed within the Shopify Online Settings and the next option will become unavailable.
Next is do not upload low stock products to Web Store. When selected, Checkout will remove any products that fall below the Web Store Minimum stock level. More information on Web Store Qty and Web Store Minimum can be found in Chapter 11.
14.3 Syncing your Shopify Web Store with Checkout
The first time you sync Checkout to Shopify, you will be prompted with a dialog asking what to do with Shopify orders and products. The first set of options determine what orders to download during this sync. First is, only import orders created after this Force Sync. When this option is used, orders placed before the initial sync will not be downloaded whereas, orders placed after the initial sync will be downloaded to Checkout.
The second option is check all orders that are not archived and import missing ones. When this option is used, only orders that have not been marked as archived on Shopify will be downloaded back to Checkout.
The last option for orders is check and import all orders that have not been previously imported. When this option is used, all orders will be downloaded and only the orders that have not been previously imported into this store will appear as new orders.
Below the options for orders are the options for products. The first option is import Shopify products. When this option is used, any products currently on the Shopify store will be downloaded back into your Checkout program.
The second option for products is leave current Shopify products. When this option is used, any products currently on Shopify will be left on Shopify and not downloaded back to your Checkout program.
The last option is Remove all Shopify products. When this option is used, all products are removed from Shopify. Then the products found inside of Checkout are synced to the Web Store.
After selecting your options, use the Force Sync button to upload the products from Checkout to Shopify. Should you need to generate the force sync options again, this can be done by holding the option key down when pressing Sync Store. Please note that this integration is meant to push Checkout products to Shopify, so any adjustments made should be made within Checkout unless stated below.
After the initial sync, any new synchronizations will push product information to Shopify and download order information to Checkout. Customers are downloaded with orders and added to your store, email addresses are used to match downloaded orders with existing customers to avoid duplicates inside of your store.
When the sync has completed, a Last Sync Log is generated and displayed inside of the Web Store tab providing an overview of the sync. This log will be available until Checkout is closed or until you have performed another sync with the Web Store.
If any errors or warnings occur during the synchronization process, a Web Store Syncing Conflict is generated and an icon appears above the Sync Store button. Clicking this button will bring up the Web Store Syncing Conflict window and display any conflicts that have not yet been marked resolved. If a conflict is double clicked or opened while highlighted, it will open the appropriate window to make any corrections. After making any necessary changes, the conflict can be resolved and will be removed when Checkout is closed or will be removed on the next synchronization.
Please note, Web Store Syncing Conflicts can also be accessed through the Window menu, then selecting Web Store Syncing Conflicts and can only be accessed by a manager login.
