Manage Products
To add Products individually
- Click Manager icon
- Click Products icon
- Click New Product button in lower right-hand corner of Products window
- Enter Product Name
- Enter Product Code, which must be a unique code among products
- Enter the Selling Price
- Enter the Defaut Cost
- Indicate whether or not this product has physical (inventory) stock
If the product is intended to be a stock item but the last option was left unchecked, you cannot go back and edit this at a later time. Instead, the product will need to be deleted and recreated.
Checkout will not allow you to sell a stocked Product if there is no stock available.
General tab
- Enter or scan the Product's barcode (bar code). If this field is blank, Checkout will use the value in the Code field to create barcode labels.
- Verify the Product's Code. It can be changed here, if necessary.
- Indicate a Brand, if you're using this feature. The Brand will remain in the Brands List, until it is no longer referenced by a Product.
- Check mark the Sell Stop field to prevent sale of this Product
- Check mark the Needs Serial field if an item serial number is required when this Product is sold
- Enter the Description if desired. This information will appear at the bottom of the product list in the main store view, when the product is selected and optionally, when the Invoice is printed.
Pricing tab
- Retail Price and Default Cost were entered when creating the Product
- Check the appropriate Tax Groups
Stock tab
Stock tab fields are available only for stocked (inventoried) Products.
- The Quantity field will show current on-hand quantity. Clicking on the pencil icon will allow you to enter a stock correction. Resultant changes are posted to an expense account typically used to record Product shrinkage and spoilage. This feature is not used to enter initial stock quantity.
- Check mark the names of the Suppliers who provide this product
Web Store
- Indicate whether or not this Product is sold on your web store
- Enter one or more Tags. Tags are used in your web store to classify items
- Enter Products shipping weight, which will be use to calculate shipping charges
- Link one or more image(s) of the Product by dragging the image into the Images field. In Checkout 4: JPG, PNG, PDF, EPS, JPEG 2000, GIF, animated gifs. (Animated gifs can now be attached to a product. PSD, TIFF, TGA, BMP, PDF, EPS are converted to PNG.) In Checkout 3: you can add JPG, PNG, and TIFF formats, which will be scaled to 800 x 600 pixels when displayed online.
Variations
Variations of a Product include characteristics such as size, color and dimensions. After creating a product, you can create variations of that product. The variations can be updated to add, delete or change characteristics or property groups. The main product can have its own unique barcode, and the variations can have their own unique barcodes as well. Barcodes will have to be entered individually. The main product cannot have a quantity of stock before you create your Variations.
To create product variations, you will need to create a property groups, or select them from the Checkout-provided templates. Property Groups are, for example, size, color, gender, etc. Within each group, there are a number of group characteristics. Size could include small, medium and large, while gender would contain male and female. A number of templates are included with Checkout, and you can quickly create your own.
To Create Variations
- Click Manager icon
- Click Products icon
- Create the initial, base product, or
- Click once on the Product to highlight it
- Click Create Variations
- Click Setup Properties
- Select from a Template, or Create a Property
You can create a Property Group by clicking on one of the Templates on the left, then clicking the Use this template button. Once clicked, the template will be copied to Properties, and you can indicate the name of your new Property Group in the upper left. In the right-hand pane, you can add or delete characteristics to complete your group, by clicking the '+' or '-' button, respectively.
Alternatively, you can create a new group by clicking the '+' button in the lower left corner of this window. Name your new group. In the right-hane pane, click the '+' button to add characteristics to your group.
Repeat this step to create all of the Property Groups, and their characteristics, you'll need to define your variations. - Click Close
- In the Variations pane, click the Selct menu to choose the first set of variations to apply to your Product
- Place a check mark along side the characteristics that apply
- Click the green '+' to apply another set of variations
- When all the variations are selected, click the Save Variations button at the bottom of the Variations pane
To Update Variations
- Click Manager icon
- Click Products icon
- Click once on the Product to highlight it
- Click the Show Variations button
- Click the Edit Variations
Import Products from a List
To import products into Checkout, the list must be in a tab-delimited or comma-separated file format. If the list is in an Excel format, you can save it as a tab-delimited or comma-separated format file.

If a product's name or price is changed, Checkout will not update existing orders, quotes, or invoices containing the product.
